Anaba allows you to adapt the visibility of your contacts and companies according to your needs: full transparency, semi-open database, or strictly private management.


Discover the 3 privacy modes to organize your database efficiently.



Open Database (Default Mode)


In this mode:

  • All users have access to all contacts and companies.
  • They can see all information: contact details, notes, phone number, last interactions, and more.
  • Ideal for maximum transparency and smooth opportunity sharing.


Once a tag has been assigned to a user/team, it is only visible to that user/team

  • You fully benefit from centralized and secure information in a single database.


Open Database with Manual Privacy


This mode allows you to keep your database largely shared, while still protecting sensitive contacts.

How it works:


  1. Create a tag or category (e.g., VIP or Partners).
  2. Assign access rights for this tag or category to specific users or teams.
  3. Apply the tag to the contacts you want to protect – only users or teams with access to that tag/category will see the contact details.


💡 Use cases

  • Law firm partners want to keep certain contacts confidential.
  • Sales teams can protect strategic prospects while sharing the rest of their database.


Fully Private by Default

For this mode, please contact support@anaba.fr


In this mode, all contacts are private except for:

  • Their referent(s) (creator or designated contact owner).
  • Users who have already exchanged emails with the contact.


Key features : Users only have access to their own contacts or those they have interacted with.

Other contacts are visible without personal details (only first name, last name, and company), but users can:

  • Request access from the referent or administrator.
  • Share access to a contact with a colleague directly from the contact profile.


💡 Good to know

  • Administrators always have full access to the database.
  • Ideal for environments where confidentiality is crucial.


Tips for Managing Contact Privacy


  • Define your teams and roles in the Admin Space before choosing a mode.
  • Use private tags or categories to organize your restricted contacts.
  • Communicate internally about the chosen mode to avoid confusion.
