Install anaba on your Outlook Desktop app

Installing the Outlook add-in on your Outlook desktop application takes less than 2 minutes. Just follow the steps described below.

From your Outlook application, click on Get Add-ins in your menu bar on the top right.

|| If you don't see it, click on "File" in the menu bar and then "Manage Add-Ins".

When the pop up appears, click on the search bar at the top right and search for anaba. The "anaba for Outlook" extension appears in the results. Click on "Add" and then "Continue". That's it 😎.

Go back to your application and the anaba icon has just appeared next to the "Get Add-ins" icon. Click on it and log in with your Microsoft credentials you are using when you sign in to your outlook application.

Business card scan

This feature is available from the home page of our mobile application.

We've designed our business card scanner to meet the needs of any business:

* Powerful: we've integrated the best OCR (character recognition) solution on the market to give you a near-perfect result.

* Fast: scan the card directly from the home page of the mobile application and find the pre-filled contact directly in your assistant, ready to share with your colleagues.

* Flexible: would you like to delegate verification to another user? Simply set them up on your profile, and they too will receive the scanned contact in their assistant.

When you scan a business card, our solution analyzes and recovers the data present: First name, Last name, Company, Position, Home phone, Mobile phone, Mailing address.

Anything you add in the "comments" section will be imported into the contact's "memo".

Business card validation

Once scanned, the business card appears a few minutes later in your list of contacts to be validated. You can check the information by clicking on the little pencil next to the name. You can also take the opportunity to add tags and/or the appropriate category.

Once you have finished, you can "Share in anaba" the contact. It will be added to your existing contacts and will be accessible to all anaba users, provided they have access rights.

Manage contact access rights

You want anaba to be your company's single address book, but you'd rather :

Keep some of your contacts confidential.
Manage access rights to certain contacts to prevent users from being polluted by contacts with whom they never interact.

You've come to the right place.

FROM THE ADMINISTRATION AREA

You can create teams from the administration area and the "Team Management" tab in a matter of seconds, and determine :

Users belonging to a team.
Categories/Tags/Projects accessible only to this/these team(s).

| ℹ️ On the "User management" tab, you can see which team(s) a user in your anaba space belongs to.

FROM "CATEGORIES" OR "PROJECTS" VIEW

Categories without 🔒 are accessible to all. Categories with an 🔒orange are not accessible to the user. Categories with a green 🔒 are accessible to the user.

| ℹ️ By hovering the mouse over the padlock, a user can find out which teams have access to this category. ||| ⚠️ By default, a category is accessible to all users in the space. So you won't see any 🔒 until the category has been restricted from the administration area.

Install anaba application on iPhone

We offer a mobile application for the iPhone. The only difference is that you won't find it in the Apple Store. In fact, it's even simpler.

Just go to your native web browser on your mobile (Safari by default), type in the address app.anaba.eu and download our application as explained in the short animation below.

Import your contact files into anaba

Before anaba, you used to manage your contacts in Excel files, on your telephone, Outlook contacts or Google contacts. To centralize all these contacts in your company's anaba space, you can import these files.

This article explains the steps to follow for a successful import. Before you start, export your contacts to Excel.

Step 1: Preparing your file

Here's what you need to know to prepare your file properly:

If you need further clarification - or if you learn best from examples - we suggest you download our template to see what your file should look like, and thus make your import as easy as possible.
The first line of your file should be the header for your columns (last name, first name, emails…).
Each column in your file will correspond to a field in anaba. The information must therefore be in separate columns. Example: Contact name in column A, contact first name in column B
We have created pre-defined fields in anaba. If no anaba field corresponds to a column in your file and you wish to import it, you can add custom fields if you wish. Example: personal email, SIRET/SIREN, family, sub-family…
Contact persons in your file who do not have a first and/or last name will not be imported into anaba.
If there are several lines in your file with the same first and last name but different email addresses, 2 contacts will be created in anaba.

Users access levels on anaba

Default settings

What's the difference? For the sake of consistency and simplicity. The administrator can do everything, while the contributor CANNOT:

Access the administration area 🚫
Delete / Modify a category 🚫
Delete a company / person he hasn't created himself 🚫
Import / Export multiple contacts 🚫

The Reader CANNOT add / modify / delete anything. He can only view the contacts to which he has access and add reminders.

Customizable settings

Every company has its own way of operating. We therefore give you the option of adapting contributor rights to suit your needs.

In the Administration > Account settings tab, you can choose whether or not contributors have the right to perform the following actions:
Create categories (Default: Yes)
Create projects (Default: Yes)
Create tags (Default: Yes)
Export contacts (Default: No)
Delete any contact (Default: No)
